Top 5 Things Every Community Event Needs to Succeed

I don't usually start my blogs with my own personal introduction, but for this topic, I feel like you need to know me. This topic includes various community event ideas that I have encountered.

I always believed marketing and promotional activities are enough for making an event a success, but after executing 3 community events in Doha in the span of 6 months, I learnt the most important part was building connection with people and understanding their needs, and then planning an event that suits them perfectly.

What are Community Events?

One thing that makes community event different from the ordinary event is "knowing new people - making new friends". For thousands of people or maybe even more, Doha is a home away from home. People are here for work and to achieve their dreams. In their solo journey, sometimes all they need is connecting with others through local events with mutual interests and stories. Such local events that support small local businesses also support local economy (sounds like a tongue twister but it is true) Hence, with this thought process in mind, my team and I began hosting events in an exciting way to bring people together and create shared experiences that foster community building. There are various forms of community events, including charity events, festivals, and educational workshops, and can be used to raise money and awareness for local causes, especially in collaboration with local restaurants. By hosting events that cater to diverse interests and needs, community leaders can help create a sense of belonging and inclusivity among community members. Events not necessarily have to be in-person either, you can also build a group and bring people together for a virtual event. Here is a nice picture from our Pinktober Event last year. Community Event Planning:

Defining Event Purpose and Goals

The very first step in planning a community event is to determine the event’s purpose and goals, such as promoting community building, raising awareness or raising money

Having a Tone in Mind

When planning your event, it is important to know which emotion or tone you want to convey and that emotion unifies your promotional activities and the common goal. In other words, it gives soul to the event. For instance, for charity and awareness events, we focus on compassion and thus raising money. Whereas for a Yoga or like a fitness event, the main emotion is peace or a serene day, and that is why all the creatives posted on our socials and websites align with that emotion. Knowing Your Audience is the KEY

When you start planning, know exactly what your audience likes and prefers. This will give you an idea about which date to aim for, what type of food to bring in, what type of venue we should keep, should we have a formal registration form or not, and most importantly where should we price the event at?

Forming a Team and Assigning Tasks

Depending upon your tone and goal of the event, from my personal experience I would suggest start making a team. Gather people who share the same goal. Your team can consist of community leaders (if you are targeting a niche community), they can be cinematographers/videographers for a creative event, or it can be volunteers and local businesses. Budgeting and Funding

When I was working on my events, I first analyzed all the costs involved in executing the event; from activity costs to food items to transfers. After knowing the potential costs, we had several internal meetings with the team, to know the exact budget we can spend on an event. Secondly, after understanding your costs as well as pricing, start forecasting, how many people will join. I usually make three case scenarios, The best one, the mediocre one and the worst one. So I have back-ups and a contingency plan beforehand. Creating a comprehensive event budget is essential to ensuring the financial success of a community event, as it helps to identify potential costs, revenue streams, and possible sponsors. Marketing and Promotion

Now when you are done with getting team members onboard, planning, and financial analysis, you get to the fun and exciting part: that is getting the word out. Raise awareness and attract attendees at those marketing channels where your audience are. Social channels would include Instagram, Facebook , and Tiktok. Other mediums, that I like to go for are the online ticketing platforms. Collaborating with online magazines or online local news platforms is also a nice strategy to go for. Plus newsletters and email marketing is another perfect way to re-connect with your past customers and create buzz. If you follow the book, it would say 'The event marketing strategy should include a mix of online and offline tactics, such as flyers, posters, and social media advertising, to reach a wide audience", but I personally feel like flyers and posters isn't an environment friendly strategy to opt for. What do you think? In short, by promoting the event effectively through an event page , event planners can create a sense of excitement and anticipation among community members, and can help to drive attendance and engagement. Event planners should consider hosting a hybrid event that combines multiple activities. They can collaborate with community leaders and offer a diverse range of activities and entertainment. The event concept and activities should be designed to align with the event’s purpose and goals, and should be tailored to the interests and needs of the target audience. For instance, we are currently working with this book club community, they will be setting up a thorough book discussion agenda and speakers whereas we will be arranging the logistical stuff: the food, the car and comfortable time at the Arabian Experience Camp. So I think by creating a one of a kind and engaging event concept, event planners can differentiate their event from others and attract a loyal following of attendees.

Logistics and Operations

Effective logistics and operations are essential to the success of a community event, as they help to ensure that the event runs smoothly and efficiently. The tip is to constantly be in touch with your operations team. Everything at the location is covered by them and managed by them. The event planner is acting like a glue bringing operations team, community leaders and attendees together. They are partnering with local vendors and suppliers to secure equipment, supplies, and services, while also ensuring compliance with local regulations and should also developing a comprehensive plan for setup, registration, and teardown. The event logistics and operations plan should include details on venue management, crowd control, and emergency response. By carefully managing the logistics and operations of the event, event planners can create a positive and enjoyable experience for attendees, and can help to build a sense of community and connection among participants. Meanwhile with all the logistical details, keep an eye on the ticket sales, and number of attendees. This is vital for a successful event. Post Event Evaluation and Follow-Up

Evaluating the success of a community event is essential to understanding its impact and identifying areas for improvement, and can help event planners to refine their strategy and improve future events. Its recommended to conduct surveys and gathering feedback from attendees to understand their experiences and perceptions of the event. By analyzing the results of the evaluation, event planners can identify strengths and weaknesses, and can develop a plan for improving future events. The evaluation and follow-up plan should include details on data collection, analysis, and reporting, as well as a plan for using the results to improve future events. By carefully evaluating and following up on the event, event planners can create a cycle of continuous improvement that helps to ensure the long-term success and sustainability of the event. For example, after hosting multiple summer camps and educational programs; we now know exactly how to make students have a FUN and Interesting Educational experience. Not gonna lie, kids are the toughest audience to cater for but with constant improvements, we are proud to offer a perfect summer camp experience.

Working with Community Leaders

Working with experienced community hosts can be beneficial in hosting successful community events, as they can provide valuable guidance on specific tasks and support throughout the planning process. They can help to identify potential risks and develop contingency plans, and can also provide expertise on event logistics, marketing, and operations. By partnering with them, community leaders can create a well-planned and executed event that achieves its intended objectives and provides a positive experience for attendees.
